Cancellation policy
Cancellation of participation must be presented in written form and sent by e-mail Elizaveta . Zabavicheva [at] monomax . org
For cancellations received until August 27, 2008, 40 % of the registration fee will be transferred back (minus bank fees).
For cancellations received after August 27, 2008, no refund will be provided.
All refunds will be preceded after the Conference.

Please account that all citizens of European Union, USA, Korea, China and other countries need to obtain visa for entrance into Russia. The procedure of visa application varies from country to country and could take more than 2 weeks. We would recommend to start it as soon as you know about your participation in the conference. Please check this with your local Embassy of Russian Federation

Monomax Meetings & Incentives has reference number of the Russian Ministry of Foreign Affairs. Visa support documents are issued based on personal information submitted by each participant during the registration on this web site (Visa Support section) or on your e-mail request sent to: Elizaveta . There are a number of countries, in which Russian Consulates require the original tourist visa voucher. Before making a request for visa support letter, ask the nearest Russian consulate, if they need the original.
If the original is necessary, the participant covers the post expenses.
Please be advised that in order to obtain the visa your passport must be valid for at least 3 months after the proposed date.
IMPORTANT GUIDELINES TO FILL OUT A VISA APPLICATION FORM PROPERLY:
Purpose of visit: Tourism (please do not state any other purpose of visit).
This purpose statement really helps conference participants avoid the difficulties involved in obtaining a Russian business visa. As well as helps the Service Agency shorten and simplify the procedure of invitation letter issue and participant’ registration upon his/her arrival to Saint Petersburg.

In accordance with the migration law of the Russian Federation all foreign citizens arriving in the country have to be registered. Most of hotels in St. Petersburg provide the guests with such registration.
Registration fee is 150 RUR (5 EUR) and it is not included in hotel price. Registration fee is to be paid directly to the hotel cash desk upon arrival. In case the period of stay at the hotel is extended, extra 150 RUR (5 EUR) is to be charges for registration extension.
Migration card
All foreign citizens arriving in Russia have to complete a migration card given at the customs. Please, fill it in carefully and keep safe until you leave the country.

In this case you will be met in the arrival zone of the airport. Our representative
can be recognized by board with the name of the Conference.
Cost of the one-way transfer is 2000 RUR (per car).

All payments should be done on the participant's personal on-line registration page [will be online on June 11th]. To make payments for an accompanying person, this person should be separately registered, and make payment on his (her) personal registration page.
All payments (registration fee, hotel accommodation or additional services) can be done separately. To return to the personal payment page in order to make the rest of payments, the participant should use his login and password and enter the "Payment Section".
Sorry, we do not accept private and company checks or Euro cheques.
YOU CAN CHECK YOUR ACCEPTED PAYMENTS YOURSELF entering your personal registration page in section "My orders and payments". The payments can be done in three different ways:
- Payment by credit card (all major credit cards are accepted for all charges: VISA (Classic only), EUROCARD/MASTERCARD, AMERICAN EXPRESS). If the Credit Card payment is preferable, the Agreement of Payment Form will be created automatically when clicking on this option. Please print it out, fill it in, sign and send it to the Conference Service Agency secure fax number: +7 (812) 335 99 58. On receiving of your Agreement of Payment the Conference Service Agency will charge the indicated credit card with amount stated, and send the confirmation of payment to the participant.
- Payment by bank transfer. If the payment by bank transfer was chosen by the participant as the preferable way of payment, the invoice for the total amount for chosen services will be created automatically during on-line registration process. It is possible to create the invoice for EURO or USD payment by pressing the corresponding button. Please print it out and proceed to payment. The hotel accommodation should be booked at the participant’s personal on-line registration page. Use your personal login and password you received while registering to enter your registration and the “Accommodation” section. Conference Service Agency Monomax offers following hotels for the participants’ accommodation during the Conference dates September 2-6, 2008:
NEPTUN Hotel rates [limited offer]:
- *** single: 2,500 roubles per night including beakfast and tax (approx. 68 euro)
- *** double: 4,500 roubles per night including beakfast and tax (approx. 119 euro)
- **** single: 3,400 roubles per night including beakfast and tax (approx. 92 euro)
Oktiabrskaya Hotel rates (Ligovsky block):
- single: 3,400 roubles per night including beakfast and tax (approx. 92 euro)
- double: 4,100 roubles per night including beakfast and tax (approx. 111 euro)
The prices are indicated per room per night including breakfast and tax. Prices are given in accordance with the hotel's rack rates and can be changed in connection with hotel rates growth. Check in/check out time in hotels - 14:00/12:00. If you intend to stay in the hotel during some hours after check out time the half price of one night stay in the hotel should be extra paid. (in “Oktiabrskaya”, “Neptun” hotel – full price of one night stay should be extra paid).
The Conference Service Agent ensures the preferable hotel accommodation in case you provide Hotel Reservation and make the full payment until August 5, 2008.

If the full payment for hotel accommodation is not paid before August 5, 2008 the reservation will be cancelled. To find more information about the payment procedure see "Payments section".

Cancellation of accomodation
Cancellation policy for hotel “Neptun”
For cancellations of hotel reservation in Hotel”Neptun” received before July 16, 2008 the sum of payment will be refunded completely (minus banking costs). In case of cancellation received from July 16, 2008 till July 30, 2008, the cost of one night stay and the amount of banking costs will be charged out of the amount of your payment. The rest amount of payment will be reimbursed.
In case of cancellation received after July 31, 2008, no money refunded.
Cancellation policy for hotel “Oktiabrskaya”
For cancellations of hotel reservation in Hotel “Oktiabrskaya” received before July 30, 2008 the sum of payment will be refunded completely (minus banking costs). In case of cancellation received from July 30, 2008 till August 8, 2008, the cost of one night stay and the amount of banking costs will be charged out of the amount of your payment. The rest amount of payment will be reimbursed.
In case of cancellation received after August 8, 2008, no money refunded.
Requests for the reimbursement of hotel accommodation should be made in written form only by e-mail: Elizaveta.Zabavicheva@monomax.org
All refunds will be proceeded after the conference.

The Best Western Neptun Hote l**** being a member of the Best Western International hotels chain is an integral part of the first Business Center built in St.-Petersburg in 1991. It is both a business and family hotel, conveniently located near commercial and cultural centers along Obvodny Canal embankment and only 25 minutes by walk from Nevsky prospect, the famous historical Center of St.-Petersburg.
